When to Book a DJ for Your Houston Company Holiday Party

If you're waiting until November to book a Houston company holiday party DJ, the best December dates are usually already gone. This guide walks through the 5 booking milestones that keep a December party on schedule: locking the date, checking the venue's sound and power, building the run of show, sending the final timeline, and load-in and soundcheck.

December is one of our busiest months every year, right alongside June and October. The part most planners don't expect is that the calendar fills from the outside in. Fridays and Saturdays in the first three weeks of December go first, and by the time October rolls around, what's left is usually a Tuesday. So if you already know your company is doing something this year, the most useful thing you can do right now is pick a date.

4 to 6 Months Out: Lock the Date and the DJ

Four to six months out is when you lock the date and sign the DJ, which for a December party means starting in the summer or early fall. The date is the domino everything else falls behind. You can't book a venue without it, you can't send invites without it, and you definitely can't hold a DJ without it.

We take a $200 deposit to hold a date, and the balance isn't due until 30 days before the event. That's on purpose. It keeps the decision small in September when your budget for the year might not be finalized yet, and it takes the date off the board so nobody else grabs it.

3 Months Out: Check the Venue's Sound and Power

Three months out is when somebody needs to actually look at the room, because "the venue has a sound system" means very different things in different buildings. Some Houston venues have a really good house setup. Plenty have ceiling speakers built for background music and a paging mic, which is fine right up until your CEO stands up for the year-in-review and half the room can't hear it.

Worth confirming: how many powered outlets sit near the DJ setup, whether there's a load-in door that isn't the front entrance, what the ceiling and room shape do to sound, and who's providing microphones for speeches. We bring our own speakers, subs, and wireless mics to every corporate event, so the house system usually doesn't need to be part of the plan at all. Knowing the room ahead of time is what keeps setup from becoming a scramble at 4pm.

6 to 8 Weeks Out: Build the Run of Show

Six to eight weeks out is when a loose agenda turns into a real run of show with times attached to it. This is the step that separates a party people stay at from one where everybody drifts to the parking lot after dinner.

A company holiday party has more moving parts than most people expect: a welcome from leadership, dinner, service awards or a raffle, maybe a slideshow, then open dancing. Every one of those needs a cue, a length, and a person responsible for it. Ten minutes of "who has the microphone" in the middle of an awards segment is how a warm room goes cold.

This is also the window to decide on the visual pieces. A custom monogram with your company logo projected on the wall is $350, and 12 uplights in your brand colors are $300. Both need to be locked in before the week of, because they change how early we load in.

2 Weeks Out: Send the Final Timeline

Two weeks out you send the final timeline, the names and titles of anyone being announced, and your do-not-play list. The do-not-play list matters more at a company party than at almost any other event. You've got a wide age range in one room, people who work together on Monday morning, and usually a few songs that would make somebody uncomfortable. Tell us which ones and they never come up.

Names are the other one. Phonetic spellings for anyone getting called up for an award are worth the two minutes it takes to write them out. Getting somebody's name right in front of their whole company is a small thing that people remember.

Day Of: Load-In and Soundcheck

On the day of, we load in and soundcheck at least 90 minutes before guests arrive. Speakers get placed and aimed, mics get tested at the actual podium in the actual room, and music is playing before the first person walks in.

Soundcheck is also when we catch what nobody planned for. The podium ended up on the opposite side of the room from where the timeline said. The slideshow needs audio and nobody brought a cable. The award list changed that morning. Every one of those is a five minute fix at 4pm and a real problem at 7.

Do weekday holiday parties cost less?

Yes. Monday through Thursday events get 25% off, and Fridays get 15% off. Plenty of companies hold their party on a Thursday anyway so nobody gives up a weekend, and the discount is a nice bonus on top of that. Weekday dates also stay open later into the season, so if you're booking in November, a Tuesday or Wednesday is often your best real option.
